Assistant Event Manager

Position Summary:

The Assistant Events Manager will develop and drive leasing, corporate, and brand events for key stakeholders that promote the Empire State Building along with the Empire State Realty Trust (ESRT) portfolio.

The successful candidate will focus on building and maintaining relationships with brokers and Empire State Building partners.

Responsibilities include but are not limited to:

Overall
Work with Events Manager and senior executives to budget, plan, and execute events (both brokerage, Observatory and corporate) Attend weekly leasing meetings and present timely updates Make weekly edits to office and retail projects for both NYC and GNYMA Maintain formal run of show for each event including staffing, agenda and marketing activities required to promote the event Contribute creative program concepts to ensure overall event content is unique and effective Conceptualize print, display, digital, video and merchandise assets to support events Manage detailed accounting records for each event Maintain annual event calendar Set, communicate, and maintain event timelines and priorities Develop and maintain vendor and event partner relationships Responsible for seamless execution and production of event environment including staging, lighting, timing, and AV presentation Develop metrics to measure ROI by event and effective resource usage Provide post event analysis, budget recaps, internal and client feedback Incorporate key learnings into future event plans Evaluate real estate and consumer landscape to see what others are doing in events and make informed recommendations on changes for ESRT and the Empire State Building

Empire State Building Observatory Events
For all brand events Draft and execute location agreements Draft operational orders for internal staff and production Staff events as needed

Property-specific Events
Vet all approval forms appropriately via Salesforce Research and budget events Negotiate agreements to ensure lowest cost and highest quality of service Serve as point person on all vendor/venue engagements Distribute calendar invites to all appropriate parties (internal and external) Manage building staff needs Registration Track and vet RSVPs Distribute weekly updates Invites Design digital invites for leasing events Share updates to social media and press team
Annual Events
Logistical execution for the following annual events: Golf Outing US Open Empire State Building Run-Up Valentine’s Day Weddings Stockholder’s Meeting
Investor Relations (IR)
Monitor IR event needs, i.e.: VIP tours, cocktail parties, dinners, etc.

For all events: Oversee HTML creation Manage logistics (i.e.

menu, event format) Track RSVPs and provide weekly updates to ESRT’s Named Executive Officers Book mass transportation Manage onsite staff (as needed)
Board Dinners
Manage planning and execution of quarterly Board Dinner meetings Plan the guest list, menu and seating chart Provide support for all presentation needs Act as the venue liaison
Qualifications:
3-5 years of experience in event planning, operations, and project management.

Real estate background a plus Bachelor’s Degree in Marketing or Communications preferred Deep understanding of tools and techniques used in Marketing/Sales Proficiency with Salesforce required Ability to work under pressure and adhere to tight timelines Excellent verbal and written communication skills Attention to detail and organizational skills a must Targeted and driven approach to sales Proven experience of managing performance of third-party sales channels Ability to work in a cross-functional team with proven experience of managing complex stakeholder environments
Innovative thinking and ability to challenge accepted norms
